Administrative Coordinator and Executive Assistant

We’re in search of a highly organised and dynamic individual with a background in leading and supporting teams, specifically in customer support. The Acosta Dance Foundation is currently seeking an Administrative Coordinator and Executive Assistant to join our team, playing a pivotal role in driving success and nurturing a positive work environment.

As the Administrative Coordinator and Executive Assistant, you’ll collaborate closely with the Managing Director, offering crucial administrative support, and leading and motivating our customer support team. Your proactive problem-solving approach and exceptional leadership qualities will be fundamental in ensuring smooth operations of the centre.

The role:

  • Manage and maintain schedules, appointments, and travel arrangements together with the Acosta Dance Centre’s studio scheduling.
  • Organise and prioritise incoming correspondence.
  • Prepare reports, presentations, and documents for the Managing Director.
  • Efficiently handle confidential information with discretion and professionalism.
  • Act as a point of contact between the Managing Director and internal/external stakeholders.
  • Draft and edit correspondence, communications, and presentations on behalf of the Managing Director.
  • Facilitate effective communication with all departments.
  • Assist in the planning and execution of special projects and initiatives.
  • Track project timelines, milestones, and deliverables to ensure deadlines are met.

Key skills/essential:

  • Proven experience as an Executive Assistant.
  • Strong IT skills, including proficiency with office productivity tools and CRM.
  • Excellent organisational and multitasking abilities.
  • Exceptional written and verbal communication skills.
  • High level of discretion and ability to handle confidential information.
  • Proactive problem-solving and decision-making skills.
  • Familiarity with project management concepts and tools.
  • Able to learn and maintain internal systems.

Required skills:

  • Demonstrated experience in office or executive management.
  • Ability to inspire and enhance team performance.
  • Proficiency in conflict resolution and problem-solving.
  • Strong planning, coordination, time management, and attention to detail.

Qualifications:

  • Proficiency in Microsoft Office Suite.
  • Outstanding organisational and multitasking capabilities.
